2026 Landscape Maintenance Agreement.
Please Note: Monthly and total agreement pricing are subject to change based on annual tax rate updates. This ensures ongoing accuracy for your specific location. Thank you for your understanding.
Contract / Disclaimer
1. Service Limitations
Services described in this agreement are limited to those listed. Any additional services requested by the client will require a separate estimate and approval.
Weather, site conditions, and safety considerations may affect the timing or completion of services.
2. Irrigation Disclaimer
Irrigation system repairs are not included in standard maintenance services unless specified.
Roy’s Lawn Care & Snow Plowing Inc. is not responsible for damages caused by pre-existing irrigation system issues, improper installation by others, or failure of irrigation components due to age, freezing, or manufacturer defects.
3. Plant & Lawn Health
We do not guarantee the survival of plants, shrubs, or turf areas. Plant and lawn health is subject to weather conditions, soil conditions, pests, diseases, and client watering practices.
Fertilizer and weed control applications are intended to improve plant health and reduce weeds but are not a guarantee of complete weed or pest elimination.
4. Weather Delays
Services may be postponed due to inclement weather or unsafe conditions. In such cases, services will be rescheduled at the next available date.
5. Access to Property
Client must ensure that the property is accessible on scheduled service days. This includes removing obstacles such as vehicles, debris, or locked gates. If our crews are unable to access the property, the scheduled service will be charged in full.
6. Pet & Property Safety
Client is responsible for securing pets and notifying us of any hazards on the property. Roy’s Lawn Care & Snow Plowing Inc. is not liable for injuries to pets or damages caused by pets interfering with work.
7. Damage Liability
While our crews take great care on every job, accidental damage may occur. Roy’s Lawn Care & Snow Plowing Inc. will repair or replace damage caused directly by our negligence. We are not responsible for damages to hidden, unmarked, or improperly installed items (e.g., irrigation heads, wiring, drainage lines, landscape lighting).
8. Billing & Payment Terms
Invoices are sent on the 1st of each month and are due Net 30.
A 5% late fee per month will be applied to overdue balances. Services may be suspended until payment is received.
All debit and credit transactions are subject to a 4% processing fee, unless an alternative payment arrangement is approved in advance by our office.
9. Auto-Renewal / Non-Renewal
Unless written notice is provided at least 60 days prior to the season’s end date, this agreement will automatically renew under the same terms for the following season. Renewal pricing may be adjusted by up to, but not exceeding, a 4% increase to account for cost of living changes and vendor related cost increases.
10. Termination Clause
Either party may terminate this agreement with 60 days written notice. Early termination without notice is subject to a 50% charge of remaining contract value.
11. Indemnification
Client agrees to hold Roy’s Lawn Care & Snow Plowing Inc. harmless from and against any and all claims, damages, losses, and expenses arising from conditions outside our control, including but not limited to weather, vandalism, theft, negligence by third parties, or client’s failure to maintain the property properly.
12. Entire Agreement
This document constitutes the entire agreement between Roy’s Lawn Care & Snow Plowing Inc. and the client. Any modifications must be in writing and signed by both parties.

Clean Up’s
Approval Procedure:
Once the quote is approved, the client will be notified within 3-5 business days regarding placement in our scheduling. Most jobs are booked 1 to 2 weeks out from approval depending on service approved. In some cases sooner.
Job Scheduling & Payment Policy:
To schedule a job, the client must have a valid credit or debit card on file associated with the account for the approved scope of work.
A prepayment or deposit of 50% of the total job cost may be required prior to scheduling, at the discretion of Roy’s Lawn Care.

Weekly Maintenance
Approval Procedure:
Once the quote is approved, the client will be notified within 3-5 business days regarding placement in our scheduling. Please note that this timeline is non-negotiable, as your service date will be aligned with the day that best fits our crew's maintenance routing for efficiency.
Cancellation Policies:
Our cancellation policy requires that clients provide a
30-day notice prior to their requested end date for service cancellations. We understand that sometimes schedules may change, but as we plan and organize our work in advance, it becomes difficult to accommodate changes at the last minute. This is necessary to allow us time to adjust our schedule and avoid disruption to our other clients. If this notice is not given,
a 50% fee will be charged for all remaining work after the cancellation.

Lawn Care Program
Approval Procedure:
Once the quote is approved, the client will be notified within 3-5 business days regarding placement in our scheduling.
Payment Process:
All approved estimates require a payment of the first monthly agreed payment to start the process of scheduling. Credit Card will be saved on file to charge the monthly installments agreed on this agreement. By approving work you authorize our team to process monthly payments automatically for the term of this agreement.
Cancellation Policies:
We understand that sometimes schedules may change, but as we plan and organize our work in advance, it becomes difficult to accommodate changes at the last minute. As a result, if you need to cancel a service, we kindly request that you notify us at least 2 weeks prior to the scheduled service date.
Please note that a cancellation fee may apply if we do not receive notice within the 2 week window. This is necessary to allow us time to adjust our schedule and avoid disruption to our other clients. Failure to inform us will lead to the minimum charge of (50% of your current application cost)!
Please note that a cancellation fee may apply if cancellation is requested after the 4th application, Client will be required to pay 50% of all remaining work. This includes your last two fertilizing applications, as well as aeration and overseeding visit cost, as our team pre-orders all our materials and required needs in advance and canceling before end of season makes a big impact on our scheduling and our price that we offer you throughout the year.
Price is pro-rated in monthly statements, if cancellation is requested, we will bill for services already performed.
Importance of Following the Fertilization Program
Each application is designed to work co-operative with the others, helping to maintain balanced growth and prevent nutrient deficiencies. We highly recommend sticking to the full program to achieve the best long-term results for your lawn. We understand that the lawn may appear healthy after the first few applications, and it's great to see it thriving. However, it’s important to follow the full 6-application program for optimal results. Skipping or canceling an application, especially around the 4th treatment, can leave the lawn lacking the necessary nutrients it still requires to continue growing strong and healthy through the season. We encourage you to work with us in adhering to the planned schedule to ensure your lawn receives the full benefits of our services.

Lawn Aeration and Overseeding
Service Visit: Fall time / September
Crew will Leave the plugs behind to break down naturally and return vital nutrients to the ground. This process opens up the soil, allowing the root system to properly breathe and absorb the nutrients necessary for deep, healthy growth.
Grass mix will be a sports turf mix. Clean up and blow off cemented areas
This will help build up root system and also help cover a lot of the bare spots that have either summer heat damage or dog spots.
***IMPORTANT***
Sprinkler & Obstruction Responsibility Notice
The crew will not locate or flag underground sprinklers, irrigation components, or other obstructions within the lawn or service area. It is the client’s responsibility to clearly mark and make visible all sprinklers, irrigation lines, and any other potential obstructions prior to service.
Any damage to sprinklers, PVC piping, irrigation components, or other property resulting from the client’s failure to properly mark or flag these items will
not be the responsibility of Roy’s Lawn Care and Snowplowing Inc.

Irrigation Repair
***IMPORTANT*** During the repair process, we kindly request that you remain attentive to all emails regarding quotes and follow-ups so that we can proceed with the necessary services promptly while our technicians are on site. If we are unable to reach the client and obtain approval for any additional work, we will need to reschedule the service and return at the next available date. Please note that depending on the season and demand, this could result in a longer wait time for rescheduling.
Contract / Disclaimer
Credit Card will be saved on file to charge the balance after job is completed. By approving work you authorize our team to process final payment automatically for the balance on invoice only.
The quote includes labor and parts required Only for the completion of the specified repairs.
Additional work or parts needed during the repair process will be quoted separately, and approval will be required before proceeding.
All repairs performed under each work order are covered by a 30-day warranty. If any issues arise within this 30-day period that are determined to be related to our repair work, we will address and resolve them at no additional cost. However, if the warranty period has expired and issues occur after 30 days, a new work order will be required, and any necessary repairs will be charged separately.
Payment will be due upon completion of the service, and credit card details will be securely stored for automatic payment processing.

Irrigation Start Up

All approved estimates require a 100% deposit/payment to initiate the scheduling process. This is necessary as our irrigation schedule is typically planned days, and sometimes weeks, in advance. Adjustments or rescheduling of other jobs may be required to accommodate your service call as soon as possible.
In the event that the client cancels the service call after approval and payment, They will only receive a refund of 50% (Minus the 4% Credit Card Fee if applicable) will be issued. This policy accounts for the inconvenience caused to our office staff, as significant effort is made in advance to rearrange schedules and ensure timely service.
A credit card will be securely saved on file. By approving the work, you authorize our team to automatically process payment for the final balance on the invoice upon completion of the repairs if they are needed.

Irrigation Winterizing
Customer Notes & Conditions
1.) Estimate is based on information provided by customer. If the system is larger / has more zones than estimated , the price will be adjusted accordingly. If information is accurate, we will honor the quoted price.
2.) If the pump must be disassembled for winterization, an additional charge will apply. Our technician will notify our office, and we will confirm with the client before proceeding.
3.) Warranty: Our technicians are trained professionals. If damage occurs due to improper winterization performed by our team, we will repair affected sprinklers in spring at no cost, provided we are hired to perform the spring start-up. Warranty does not cover pre-existing issues, freezing before service date, or systems reactivated by others after winterization.
4.) Scheduling:
Normal winterizing schedule: October 5th – October 30th.
Approvals after November 1st will be scheduled as soon as possible, but Roy’s Lawn Care is not responsible for any freeze-related damage that may have occurred before service.
Scheduling is subject to weather conditions and availability.
5.) Deposits & Payments:
A 50% non-refundable deposit is required to secure scheduling.
Deposits will not be refunded if the client cancels or retracts approval.
The remaining balance will be charged to the card on file upon completion of service.
Cancellations within 48 hours of scheduled service may result in full balance being charged.
6.) Backflow preventer disclaimer
Roy’s Lawn Care is not responsible for damage to backflow preventers unless system design allows full access for proper winterization.
7.) Access Requirement
Customer must ensure access to water shutoff, timer, and all system components at scheduled time. If access is not provided, a trip fee may apply.
8.) Trip Fee / Reschedule Policy
If our technician arrives and cannot perform the service due to lack of access, locked gates, or missing information, a $75.00 trip fee will apply, and the service will be rescheduled.
9.) Customer Responsibility & System Limitations
Customer is responsible for ensuring the irrigation system remains off after winterization. Roy’s Lawn Care is not responsible for any damage caused by system reactivation prior to spring start-up.
We are not liable for damage caused by pre-existing conditions, weak pipes, faulty wiring, or improper system installation.
10.) Quote Validity:
This quote is valid for 10 days. Pricing may be subject to change after this period or after October 30th due to increased demand and weather risk.
